Executive Secretary interview questions:

Executive secretaries are responsible for various administrative and clerical duties, primarily supporting senior management. This role carries significant responsibilities, including tasks that go beyond basic administrative functions, such as research, report writing, and maintaining confidentiality. While some companies may prefer executive secretaries to hold degrees, it’s not always a strict requirement. Depending on the industry, candidates can be evaluated based on their knowledge of specific terminology or relevant legal guidelines.

To effectively assess candidates for this role, start the interview by inquiring about fundamental skills such as communication, typing proficiency, basic bookkeeping, and organizational abilities. Then, delve into their expertise in research techniques, report preparation, vendor management, and their leadership skills, especially if they are expected to oversee other support staff. For positions that report to the CEO or another C-suite executive, be sure to ask situational questions that reflect the high level of responsibility associated with this role.

  • How does your prior experience uniquely qualify you for this role?
  • Can you provide your typing speed or words per minute?
  • What is your familiarity with “back-office” software?

Behavioral questions:

  • Have you encountered any errors while managing files? How did you address and rectify the situation?
  • Can you recall an instance when you had to manage multiple projects with demanding deadlines? How did you determine task priorities?
  • Describe a complex project you collaborated on with a team. What was the objective, and how did you cooperate with others to achieve it?
  • Share a situation where you had to make a challenging decision when your boss was not available.
