You should also consider their previous experience with office equipment, knowledge of basic bookkeeping procedures (such as processing invoices), and their ability to manage both physical and digital records. Strong communication skills and a customer service-oriented attitude are essential qualities to seek in candidates.

During the interview process, pay attention to candidates with prior experience in medical settings, as they will have a better understanding of medical terminology and common procedures like prescribing medications and documenting patient medical histories. Look for candidates who can handle sensitive patient information with discretion and demonstrate empathy towards individuals facing medical challenges.

  • What are your responsibilities on a typical workday?
  • Can you describe your approach to managing patient appointments efficiently?

Operational and Situational questions:

  • If a patient requests a medical test without an appointment and there are no scheduled appointments for the next hour, how would you handle the situation? Please explain your reasoning.
  • How do you respond when you encounter a patient’s question that you don’t know the answer to?
  • In a scenario where a doctor urgently needs a patient’s medical record printed, but the printer is currently out of order, what steps would you take to address this situation?
  • If a pharmacist calls your office to request a medication refill for a patient, what specific information would you request from them?

Behavioral questions:

  • Why did you decide to pursue a career in the medical secretary field?
  • How do you maintain your composure when dealing with challenging patient situations, such as those involving individuals with serious chronic health conditions?
  • Have you ever introduced a new filing system or organizational method for your files? If so, what was it, and how did it improve your efficiency? If not, how do you ensure that your current filing system is effective?
  • When you encounter patients who lack health insurance and cannot afford necessary medical services, how do you handle the situation?
  • Can you share an example of a time when you had to assist multiple patients simultaneously? How did you prioritize their needs?
